When You Only Do It Once a Year . . .
In the next few weeks, many of us will be pulling out holiday decorations that we have not seen in a year. If you are fortunate, someone took a few moments to carefully organize the decorations, or you might be facing a giant tangle of Christmas lights.
In my household, it’s really a question of who put things up: me or my wife? She packs everything well, but if I packed the lights, it’s easier to just buy new lights because when I am done, I am done!
The Fall Reporting Season is similar. We are tempted to breathe a sigh of relief and move on to our next list of stuff to do because we are done! But in a year, we will open a box to a confusing mess! I know everyone is exhausted right now, but if you take a little time to organize everything, it will be easier next year. Here are a few tips:
- · Compile and accurately name and compile all your files, data, and resources in one place
- · Do a quick after-action for critical reports and processes: what worked, what did not, and what you should do next year
- · Pick some dates now on your calendar to review these notes and prepare for next year’s reporting season.
- · Write some notes/instructions to yourself as if you are writing to a stranger – you won’t remember everything a year from now.
A few minutes of reflection and organization now will save you a ton of frustration next year, so before boxing up all the applications, accreditation reports, and other reporting season stuff, you will have a much easier time next year. In education, we do many things only once a year, so we have to think a year ahead. Christmas lights and reporting season are both easier if we take a few moments to organize everything before we box them up!

7. Tip for Preparing for NEXT Reporting Season: Take an hour to reflect on the reporting season and how to better prepare for NEXT YEAR. Great teams are built in the off-season and so are efficient districts. While this is fresh on your mind:
a. Compile all data, copies, etc in a clearly labelled file
b. Identify calendar checkpoints to prepare staff and processes
c. Compile and categorize notes, ideas, and to-do lists
d. Write notes to yourself like you are writing them to a stranger – because in a year, you will not remember all the details.

A little time of reflection (after-action) in November will make world’s of difference next Reporting Season. We only use Christmas lights once a year, and with a little investment, they will not be a giant mess next year! Same rule applies to the reporting season.
