CALLING ALL AUCTION VOLUNTEERS!
Visitation’s Annual Gala Auction will be held at Bellarmine Preparatory in the Connelly Student Center on Saturday, April 1st this year! The only way to make this a success is by having enough enthusiastic volunteers. We need people for various functions before, during and after the auction. Below is a listing of jobs available and a description of each. Remember as a school parent you have a commitment to five auction service hours. Please sign up early to ensure you get the job that best suits you!
TRANSPORT- Volunteers will meet at Visitation and load auction items on morning of Gala, transport them to Bellarmine and help unload. Prefer volunteers with trucks and vans. Perfect for anyone wanting to attend the Gala. Must be available from 9am until completion on the 1st. Will also need some people on the morning of the 2nd to return items back to Visitation. Possible Hours Earned 3+ People needed: Multiple
FRIDAY NIGHT SET-UP- Volunteers will meet at Bellarmine on Friday, March 31st in the evening to set-up tables and prepare for Saturday. Possible Hours Earned 3+ People Needed: 4
TABLE SET-UP- Volunteers will arrive at Bellarmine on the morning of the 7th to Decorate, set up tables, attach table cloths and arrange Auction items. We will need people from 10 am until completion, good way to make all five hours at once! Possible Hours Earned: as many as worked. People needed: Multiple
SECURITY- Volunteers will arrive at Bellarmine on the 1st in shifts to help monitor items and patrol area beginning at 2pm. Volunteers are needed before and after Auction. Possible Hours Earned: 3 People needed: 4
REGISTRATION- Volunteers will greet guests upon arrival, find their program with assigned bid number, verify address and meal choice and answer general questions. Dress code applies to this job. Possible Hours Earned: 3 People needed: 4
BANKING/ CASHIER- Volunteers will enter Auction items that were bid on, tally receipts for guests and accept payment. Volunteers should be confident with computers and money transactions and is suited for someone who needs to be able to sit. Dress code applies to this job. Possible Hours Earned: 4+ People needed: 4-6
RAFFLES - Volunteers will move through the auction during cocktail hour and silent tables selling tickets for multiple drawings. This job is perfect for a salesperson! Sellers need to be outgoing and engaging, willing to approach guests with a big smile and an explanation of the drawing. Dress code applies to this job. Possible Hours Earned: 2 People needed: 6
BARTENDER- Volunteers will serve guests beer, wine and simple mixed drinks they will prepare. Must be energetic, quick on your feet and a people person! Bartending experience is helpful. Dress code applies to this job. Possible Hours Earned 4+ People needed: two teams of three.
TABLE CLOSERS and RUNNERS- Volunteers will move through the silent tables when the table is “closed” circling the winning bid and removing the top sheet from the item to be recorded, then “run” it to the cashier table. Must be available to attend the Auction. Dress code applies to this job. Possible Hours Earned: 2 People needed: 6
RECORDER- Volunteers will sit below stage during the live auction and record winning bids. Dress code applies to this job and is suited for someone who needs to be able to sit. Possible Hours Earned: 1 People needed: 2
CLEAN-UP- Volunteers will arrive at Bellarmine after auction (around 9pm) to take down tables, break down decorations and secure any unclaimed items. Great job for people already attending auction! We will also need people the morning of the 8th for any additional clean up needed to clear Bellarmine. Possible Hours Earned: 1+ People needed: Multiple.

DRESS CODE- Volunteers choosing jobs during the Gala are being asked to wear black slacks/skirts and white shirts this year. This will eliminate any confusion and make you stand out so guests know to approach you.
