There's lots of talk about snow this week. Our students are probably excited about the possibility! We've sent our families several communications about how to prepare for delay or closure notifications. We also reminded them that we have three inclement weather make-up days built into our calendar this year. Should we need to close due to weather, April 17, June 11, and June 12 have been designated as make-up days.
Our Bond Development Committee continues to work toward a list of projects for consideration in a potential bond. We planned to hold a community meeting tomorrow to present some of those ideas to the community, but we have had to postpone that meeting. The committee needs more time to work through a project list.
We are diving into developing our Student Success Act plan. ODE provided guidance about the application process just before winter break. We are reviewing the feedback we received from our engagement sessions to ensure that our plan reflects that feedback, especially the input from our historically underserved communities. The Student Success Act places a large emphasis on equity and requires our plan to address barriers that are preventing some student groups from reaching their potential. As part of the planning process, we will be convening an SSA committee, with representation from the school board, teachers, students, parents, administrators, and community members.
Our School Climate teams are meeting regularly and working on building-level climate plans. You'll probably notice an emphasis on reinforcing behavioral expectations in your building. Now is a good time to review your expectations with your students.
I hope 2020 is off to a great start for you. Keep your phone handy in the early mornings this week as we are on storm watch. The first snow warning of the year usually gets hyped in a major way by the media. It usually ends up being nothing more than a few flurries. Here's hoping I didn't jinx it again. Have a great week!

January is the month to take a renewed look at all of our classroom management plans and make any necessary adjustments moving forward as we work with our students to recoup from winter break and prepare for the remainder of the school year. This is a great opportunity to breathe life into our classroom management plans and assure that they accurately portray what is happening within our classrooms to best serve our students.
504 Procedural Update and PD
The Section 504 procedure manual has been updated. Staff in charge of preparing 504 plans in the District will receive professional development training to the new manual on January 24, 2020. This will streamline the process across the district.
CPI Training
Canby has twenty additional staff members who were Crisis Prevention Intervention Response trained in December. Please be aware of who your trained staff in your building are. These are the staff that need to be responding to escalated behavior and the only staff members authorized to manually restrain a student in your building, other than in extreme emergencies.

Email changes on their way!
Your building technology specialist will work with you in January and February to migrate your email address and Google login to our new format. Here’s some information to keep in mind:
If you were hired after June 2019, your account is already in the new format, and you have nothing to worry about.
If you use Microsoft Outlook (we know who you are), there are extra steps that we’ll have to take to make this change successful. Our team will be in touch.
If you use the email signature stored within the browser version of your email, you’ll need to re-create it after the change. We’ll provide you a pretty cool looking signature template to make this easy.
Know that your computer, Pearson, and Synergy logins WILL NOT CHANGE. These will change over the summer and/or when you receive a new computer.
Know that your email address and Google login information will change.
Know that as long as you work for CSD, you will still receive email sent to your old address.
Due to a technical issue outside of our control, we’ve been in a significant delay with our desk phone replacement project. Over holiday break, we made headway on getting that technical problem resolved and we can now see a light at the end of the telephone tunnel. We’re leveraging some help from CHS to get some phones ready for deployment, some help from CESD to get our phones integrated with our PA systems, and we’ll get phones replaced this spring.

We want to take a moment to remind you about a few form changes that we first told you about last month:
The IRS has developed a new W-4 form for anyone who needs to make adjustments. This form needs to be used as of January 1, 2020. Old versions of the W-4 form will no longer be accepted after that date. Also, if you are wanting to change your state withholding, you now need to complete the Oregon form and not the federal W-4 Form. Here is the link to the state form and again, only page one needs to be submitted: https://www.canby.k12.or.us/uploaded/attachments/hr/forms/2019_Form_OR-W-4.pdf
We are in the middle of processing your W-2 form. We will have them to you by January 31st at the latest. Once they are completed, they will be sent to your building and also posted to the employee portal if you need to reprint them.

There's been a lot of talk about snow lately, so here's a quick refresher on our Inclement Weather Protocols and Pay Reminders by employee group:
School Based Classified Employees (Art. 11 E. pg. 21):
· Essential Staff (generally the Custodian/Principal Secretary; Principals will let essential staff know who they are) are expected to arrive on time for late start or stay during early release and are expected to come to work during a closure, if requested. A Principal can modify their schedule but must communicate that to the essential staff person in advance.
· All non-essential classified staff come it at late start/or leave at early release time and do not report to work on a closure. Classified staff should put down the number of inclement weather hours on their timesheet. Classified staff have upto 3 days of inclement weather hours per school year (they do not roll over),
· All classified staff are expected to make up inclement weather days with no additional pay (if they were paid inclement weather).
School Based Certified Employees (Art. 18 B. pg. 27):
· Certified Staff are granted late start or early dismissal (after the departure of busses and students) with no loss in pay and do not report on a closure.
· All certified staff are expected to make up inclement weather days with no additional pay (if they were paid their regular pay during inclement weather).
District Office Staff:
·Classified Employees (Art. 11 pg. 20): same applies as above; staff should put down the number of inclement weather hours on their timesheet.
·Certified Employees (Art. 18 pg. 27): same applies as above.
·Unless designated as essential staff, Confidential, Supervisory, Specialists, come in at late start/ or leave at early dismissal and do not come into work during a closure, with no loss in pay.
As always, employees should use good judgement and stay safe. If you are an essential employee who cannot make it in or need to leave early, you should communicate with their supervisor and use inclement weather pay.

Short-Term Program Option
What Fellows Do
Fulbright DAST fellows participate in short-term international projects, collaborate with colleagues abroad, and share educational policy and practice on a global scale. This program's projects cover a variety of disciplines, and program cycles may have varying numbers of projects available for application.
Cycle 1: Projects taking place between June-September 2020.
- Ghana: Increasing the Interest of Female Ghanaian Trainee Teachers in Becoming STEM Educators
- Mexico: Sharing Innovative U.S. Mathematical Teaching Approaches with Mexican Pre-Service Teachers

Nominations Open for School Nurse Award
The Oregon School Nurses Association (OSNA) is seeking nominations for the 2020 Oregon School Nurse or School Nurse Administrator of the Year award. Please review the nomination form which includes the necessary nomination requirements.
Your school nurse or nurse administrator is an integral member of the education team, and plays an important role in ensuring all students in your school receive the support, assessment and follow up needed to stay safe, healthy and ready to learn. School nurses improve attendance, health and wellness, and educational attainment. We would like to recognize a school nursing professional who goes above and beyond the expectations of their position, who handles difficult situations with exceptional grace and professionalism and who is an unrelenting advocate for all of the students, staff and school community members in their care.
Please consider the exceptional attributes your particular school nurse or nurse administrator brings to the students and staff in your schools, and nominate one of them today.
All required nomination information must be received by Tami Pike, OSNA Vice President, on or before Friday, January 17, 2020. Please contact Tami if you have any questions.
The 2020 Oregon School Nurse or Oregon School Nurse Administrator of the Year award will be presented to the winner at the 2020 OSNA Spring Conference in Silver Falls, Oregon on Thursday, April 16, 2020.

This informational session will be directed towards staff within their first 10 years of working with Canby School District. You will learn about loan forgiveness and why setting up your retirement now is so important!

CHS Students Help Serve Local Families through Kiwanis Drive
After many months of preparation, well over a thousand hours of volunteer time, and support from a generous community, the 2019 Kiwanis Canby Community Food & Toy Drive was able to provide holiday assistance to 360 local families, including gifts for more than 920 children.
The Drive serves residents who live within the boundaries of the Canby School District and who are not receiving assistance from another holiday program. They provide food baskets for family individuals and adults without children, as well as toys for children 0-18 years old.
On their website, Canby Kiwanis thanked the Clackamas County Event Center and staff, which hosts the giveaway each year, and the Canby Rotary Club, Direct Link, Action Acres, Shimadzu, PumpTech and Cutsforth’s Market for their generous financial donations.
There were also shout outs to Canby schools, and the Canby High Leadership class in particular, for organizing food drives and delivering donations to the staging area. Local Boy Scouts and Cub Scouts held drives as well, and some 50 or 60 local businesses served as drop-off locations for food and toys.
The tidal wave of generous donations took a flood of volunteers to receive, sort, and help ensure they wound up in the right hands. It was quite a sight, according to Canby Kiwanis.
“It was heartwarming to see families, friends, and organizations — youth and senior citizens alike — all pitching in to sort food and toys, fill the boxes and gift bags, and assist in any way we needed them,” they said on their website. “Our entire community pulled together to help its members in need. We are so proud of our community and what we are able to accomplish when we work together. Thank you for your support!"
Four colleagues nominated Sheila for the award, to honor year years of commitment to the students she served. Sheila retired at the end of December.
