Registration opens at 1 p.m. in Sutton Hall. Please understand that we will not have early registration and we would like everyone checked in by 4 p.m.If you find yourself in the area prior to registration, we invite you to visit the nearby communities of Eatonton, Madison, or Greensboro.
We would like each person to register individually so that we can give you all of your conference materials including your meal card, nametag, program, cabin assignment as well as your conference bag and t-shirt.
If you are among the handful of part-timers, we will have a late registration area at Sutton Hall with instructions for picking up your information if the table is not staffed.
Packing List
- Casual comfortable clothing. You will not need any dressy attire. There is walking between buildings so comfortable shoes are a must. The weather is predicted to have high's in the low 90's and low's in the low 60's. Weather can be unpredictable so a rain jacket and umbrella are nice additions.
- Personal items and toiletries. Bedrooms sleep 2 and included a bath in the room. Sheets and towels are provided. Each room has room thermostat control so you are able to adjust the temperature. While linens are provided, housekeeping services will not be offered. With this in mind, you may want to bring an extra towel.
- We will host the Tea Cup Auction, Heads or Tails Event, as well as the Golden Ticket awards. We are fortunate to have lots of great items donated by you, the conference participants, as well as vendors and sponsors. Please plan to drop off at registration items for these events. The Auction and Awards team will group items together, create baskets and determine the placement of items across the three functions to ensure we have lots of great items in all three spots. - And as we talk auction and events, bring a little spending money. There is a Center store as well as exhibitors on hand with items and our Auction and Awards event. Even with a few dollars, you may take home some great prizes. Keep in mind, that all of the other activities including workshops, meals, and breaks (from Thursday dinner through Sunday breakfast) are included in your registration. There are no additional fees to participate in a workshop.
Just a Few More Annoucements
- We will offer the opportunity for educational exhibits and posters for sharing on Friday. These will be in the exhibit area with commercial exhibits and provide lots of space to showcase your ideas. If you would like to add a display or poster, please register at https://tiny.utk.edu/edexhbits before September 20th. Keep in mind that exhibits may not offer or announce for sale items or events with a registration fee as those are commercial exhibits.
- We are still awarding golden tickets on social media. Be sure you have liked us on Facebook, followed us on Twitter and found us on Instagram @4HVCOSS. Additionally, as you post on your sites, we hope you'll use #4HVCOSS in your posts.
- Check the website often www.vcoss.weebly.com, we have added lots of information to Frequently Asked Questions and have posted updates to the front page. Additionally, we have added a Center map that shows the general location of our cabins as well as the buildings. For first timers, this helps you learn your way around the Center a bit and predict walking.
- From time to time, participants bring swag items from their state that are then sold to other participants. As we have commercial exhibit space is available, we ask that you do not bring things to sell at the conference unless you registered as a vendor (exhibitor) and have paid the additional fees. Our vendors, much like our donors, have given to help keep registration costs low and to provide excellent conferences resources. Please don't put the conference planners in an uncomfortable position. If you have a specific question or concern, please email 4hvcoss@ gmail.com so that we can address these.

Include a copy of your registration receipt or a listing of your name and state.
If by chance, your fees are paid by another entity such as your local or state 4-H program, please communicate with those responsible for payment so that your payment will be received prior to the conference.
We understand that from time to time, organizations payment procedures will not allow for payments to be processed quickly. If you suspect that your payment may not be received prior to the opening of the conference, please email 4hvcoss@gmail.com with your name, state, anticipated date of payment and from whom the check is coming. For example, Chris Clover, Tennessee, the FourH County Extension program is sending a check. The contact is Perfect Agent.
Connecting Before, During, and After the Conference
We will use Remind to stay connected as well. Remind is a messaging service that allows us to share information in real-time. If you would like to join Remind, visit https://www.remind.com/join/4hvcoss. If you have a smartphone, you may also open rmd.at/4hvcoss to join.
This year we are adding Photo Circle as a sharing option. Photo Circle is an app where anyone in the group can share photos with the group. In sharing photos, you agree that your photos may be used in conjunction with 4-H, our universities and the conference. Anyone who joins as access to the photos so in turn, you also agree not to use the images outside of 4-H promotion.
